This Policy explains what personal data V-WVID Hosting collects, why we use it, who receives it, how long it is retained and the rights available to you.

1. Scope and identity of the controller

This Privacy Policy applies to the V-WVID Hosting website, client area, ordering and billing systems, support channels, and our web hosting, VPS, cloud, domain, SSL, storage, backup, web-design and related services (the “Services”).

V-WVID Hosting (“V-WVID”, “we”, “us” or “our”) is the data controller for personal data used to operate customer accounts, process orders, bill customers, secure the platform, communicate and market our own Services. You can contact us about privacy at support@v-wvid.cc.

This Policy does not govern independent websites or services operated by third parties, even if we link to them. Their own privacy notices apply.

2. Our controller and processor roles

For account, billing, website, security and business-administration data, V-WVID ordinarily acts as a controller and determines why and how the data is used.

For personal data contained in websites, applications, databases, email accounts, files or other Content that a Customer hosts through the Services, the Customer ordinarily determines the purposes and means of processing and acts as controller. V-WVID processes that hosted data on the Customer’s behalf as a processor or service provider, subject to the service agreement and the Customer’s documented instructions.

If you are an individual whose data appears on a website hosted by one of our Customers, please contact that website owner first. We will assist the Customer with valid requests as required by applicable law.

3. Personal data we collect

Depending on how you interact with us, we may collect:

  • Identity and contact data: name, company, job role, postal or billing address, email address, telephone number and account identifiers.
  • Account and verification data: username, authentication records, security settings, verification status and information reasonably required to verify identity, authority, business activity, domain ownership, fraud risk or sanctions compliance.
  • Order and billing data: purchased products, plan, billing cycle, invoices, tax information, transaction status, payment method type and limited payment references. Complete card details are ordinarily handled by the payment provider rather than stored by V-WVID.
  • Domain and certificate data: domain name, registrant and administrative contact data, verification records, registration status, nameservers, transfer information and certificate-request details.
  • Technical and usage data: IP address, device and browser information, dates and times, requested pages, referral data, session identifiers, authentication events, resource use, network and security logs, error reports and diagnostic information.
  • Communications: support tickets, contact-form submissions, emails, complaint or abuse reports, survey responses and records of your preferences.
  • Hosted Content: data stored or transmitted through Customer hosting, which we process principally to provide, secure, back up and support the Services on the Customer’s behalf.
  • Web-design project data: project contacts, specifications, supplied text or media, credentials provided for authorised migration or integration, approvals and delivery communications.

Please do not send government identifiers, health information, payment credentials or other highly sensitive data unless we specifically request it through an appropriate secure channel and you are legally authorised to provide it.

4. Sources of personal data

We collect data directly from you when you create an account, place an order, contact support, complete verification, configure a Service or communicate with us. We collect technical data automatically from your browser, device, applications and use of the Services.

We may also receive data from an authorised account administrator, employer or reseller; payment processors; domain registrars and registries; identity, fraud-prevention or security providers; public business or sanctions records; referral partners; and authorities or complainants where lawful and relevant.

Where we rely on legitimate interests, we consider the necessity and impact of processing and apply safeguards. You may request information about that assessment. Where processing relies on consent, you may withdraw consent at any time without affecting earlier lawful processing.

If required data is not provided, we may be unable to create an account, verify an order, register a domain, comply with law or provide the requested Service.

6. Cookies and similar technologies

We may use cookies, local storage and similar technologies to operate sessions, remember preferences, maintain security, prevent fraud, balance traffic, authenticate users and keep the client area functioning. These technologies are necessary for Services you request or for secure operation.

If we use optional analytics, personalisation or advertising technologies, we will provide information and obtain consent before using them where applicable law requires it. You can manage optional choices through any cookie controls we provide and can also adjust browser settings. Blocking necessary technologies may prevent account, ordering or client-area functions from working.

We do not use hosted Customer Content to create advertising profiles. Third-party payment, domain or embedded-service providers may set technologies governed by their own notices when you use their features.

7. Sharing and recipients

We do not sell personal data. We may disclose only the data reasonably necessary to:

  • infrastructure, data-centre, network, backup, monitoring, security and software providers that support the Services;
  • payment processors, banks, fraud-prevention providers, accountants and billing suppliers;
  • domain registrars, registries, certificate authorities, licence vendors and other suppliers needed to fulfil an order;
  • email, customer-support and business-communications providers;
  • professional advisers, auditors, insurers and financing parties subject to appropriate confidentiality;
  • competent authorities, courts, law enforcement, regulators, rights holders or affected parties when required by law or reasonably necessary to protect rights, safety, security and the integrity of the Services; and
  • a genuine buyer, investor or successor in a merger, financing, reorganisation or sale, subject to appropriate safeguards.

Service providers may process data only for contracted purposes and under appropriate data-protection and confidentiality obligations. We may share aggregated or irreversibly anonymised information that no longer identifies an individual.

8. Domain-registration information

When you register or transfer a domain, required registrant information is sent to the relevant registrar, registry, escrow provider and other participants in the domain-name system. Their policies and legal duties also govern processing.

Some domain-registration data may be published through WHOIS or Registration Data Directory Services, or disclosed through lawful access procedures, depending on the top-level domain, registry policy and applicable law. Privacy or proxy services may be available for eligible registrations but cannot be guaranteed for every domain or lawful disclosure request.

9. International data transfers

Our suppliers, registrars, infrastructure or Customers may be located outside your country or the European Economic Area. Where personal data subject to GDPR is transferred to a country without an adequacy decision, we use an available lawful safeguard, such as European Commission standard contractual clauses, and supplementary measures where required. A transfer may also occur where another lawful derogation applies.

You may contact us for information about the applicable transfer mechanism, subject to protection of confidential and security-sensitive information.

10. How long we retain data

We retain personal data only as long as reasonably necessary for the purpose collected, including providing Services, maintaining security, meeting legal and tax obligations, resolving disputes and enforcing agreements. Retention is determined using the type and sensitivity of data, the Service lifecycle, risk, backup cycles and applicable limitation or statutory periods.

  • Account, order and support records are generally retained during the customer relationship and afterwards for applicable accounting, tax, complaint and legal-claim periods.
  • Transaction and invoice records are retained for periods required by financial and tax law.
  • Security, access and network logs are retained for a limited operational period, or longer where needed to investigate an incident, abuse report, fraud or legal claim.
  • Domain-registration information is retained according to registrar, registry, contractual and legal requirements.
  • Hosted Content is retained according to the Customer’s instructions, plan and backup cycle and is ordinarily deleted or overwritten after termination, subject to security isolation, recovery windows and legal-preservation duties.
  • Marketing data is retained until you opt out, consent is withdrawn or it is no longer necessary; we may retain a minimal suppression record to respect the opt-out.

When retention is no longer necessary, data is deleted, anonymised or securely isolated until deletion is technically completed.

11. Data security

We use technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration or disclosure. Measures may include access controls, authentication, encryption in transit, network protections, logging, backups, least-privilege administration, supplier controls and incident procedures.

No internet service or storage method is completely secure. Customers must secure their own applications, credentials, endpoints and configurations and maintain independent backups. If a personal-data breach occurs, we will investigate, contain and make legally required notifications.

12. Your data-protection rights

Depending on your location and applicable law, you may have the right to:

  • request access to personal data and receive a copy;
  • correct inaccurate or complete incomplete data;
  • request deletion in applicable circumstances;
  • restrict processing in applicable circumstances;
  • object to processing based on legitimate interests and object at any time to direct marketing;
  • receive certain data in a structured, commonly used and machine-readable format and transmit it to another controller;
  • withdraw consent at any time where consent is the legal basis; and
  • lodge a complaint with the data-protection supervisory authority in the EEA country of your residence, workplace or the alleged infringement.

Send a request to support@v-wvid.cc and describe the right you wish to exercise. We may request information reasonably necessary to verify identity and protect account data. We ordinarily respond within one month where GDPR applies, subject to any lawful extension for complex or numerous requests.

Rights are not absolute. We may retain or withhold information where an exemption applies, including protecting others’ rights, confidential information, security, legal obligations and legal claims. We will explain a refusal where required.

13. Marketing communications and choices

We may send service messages needed for your account, such as invoices, security alerts, expiry notices and material service changes. These are not promotional communications and may be necessary while you use a Service.

You can opt out of promotional email using the unsubscribe method in the message or by contacting us. An opt-out does not stop necessary transactional or security messages. We do not send marketing on behalf of hosting Customers unless separately agreed and legally permitted.

14. Children

The Services are intended for adults and organisations and are not directed to children. We do not knowingly allow a person under 18 to create a Customer account. If you believe a child has provided account data without appropriate authorisation, contact us so we can investigate and take appropriate action.

15. Automated processing

We may use automated security and fraud signals to flag or temporarily restrict suspicious orders, logins, traffic or transactions. We do not ordinarily make decisions based solely on automated processing that produce legal or similarly significant effects on individuals. Where such a decision is lawfully used, we will provide required information and safeguards, which may include requesting human review.

16. Changes and contact

We may update this Policy to reflect changes in law, Services, suppliers or processing. The current version and effective date will be published here. We will provide additional notice of material changes where appropriate or legally required.
